Working with student data (Illinois specific)

In an effort to make ClassLoaderPro easy for students to use it collects the minimum amount of data possible during the registration process. In some states though, additional information is required to complete the registration process. In Illinois (as of 10/24/2018, the date this article was written) there's a 16 hour CCW form/class certificate and a 3 hour renewal certificate. If you are reading this, you are probably very familiar with these already. As an instructor you have to track and document how many hours of training you provided and how many hours of previous training you verified. You also have to track what type of previous training and/or other CCW licenses you verified. ClassLoaderPro helps you track this data and later uses it to generate the Illinois student certificates/forms.

To set up an Illinois CCW class that will use the 16 hour form do the following....

  1. Make sure you let me know you are teaching an Illinois class so I can give your account access to the Illinois forms.
  2. Under instructors, create a new instructor and type your Illinois instructor id only. Leave off the CCT part, that is already printed on the form.

  3. In your class template make sure you enter the curriculum id for your class. Ignore the classroom and range hours as these are not used for the Illinois certificates.

    Also in the class template, select the instructor with the Illinois id and the Illinois 16 hour CCL form from the drop down.

  4. Now you can create classes based on this template.

When a student signs up for one of these classes you will see a color coded "Students" icon like this....

This icon appears green when all student data is up to date. The one above is green because there are no students in the class yet. When a new student registers it will turn red indicating there is student data missing.

If you click the icon, you will see a list of students and their individual status. Like this...

Clicking on the student data link will show the data for this student.

From here you need to verify the students name (this is how it will print) and number of hours provided/verified and check the prior training credit type. When finished, select the checkbox to "lock" the record and click update.

This doesn't lock the record for you, it just marks it as complete and prevents students from updating.
NOTE: Currently, students do not have access to this data but in the future there will be a mechanism for them to update the data themselves and allow you to verify it.

After marking it as complete the student now shows as complete and the class will show a green student icon again.

To print the certificates for this class click the certificate icon next to the class in the dashboard. In the top section "Custom and State Specific Certificate Templates" select the template and instructor. Ignore the two checkboxes as they are not valid for the Illinois certificates. Then click the Create PDF button.

You should now see a window displaying a PDF file with all of your class certificates. You can save it or print it if you like. I would suggest taking a quick look at the certificates before printing. You'll notice all of the fields were filled out automatically.

Update 06/02/2019 - If you select the "16 hours send email" certificate, an email will be sent to the student requesting additional information. The email also contains an email address and special code they can use to upload documentation like pictures of their FOID, proof of previous training, etc. These documents are then viewable by the administrator/instructor.
